Ability to change the sequence of Clinical Notes

Clinical notes are displayed in date order but ...
In our clinic clients first complete their case history in the waiting area by pen/paper;
Then they have a treatment - making the first treatment the first computerised clinical note.
A few days later their history and a chart are entered on to F/Desk by our data entry team.
The result is that the history & chart are niched between the first and second treatments ...

Is there a way to change the sequence of the notes so that the first history (and chart) always appear before the first treatment?

Do other users have a similar need?

Clinical notes are ordered by date as you have found, either oldest or newest on top depending on your settings (System Information > Clinical Notes). There isn't currently a system to order clinical notes based on their type, such as History before Treatment. While 'History' and 'Treatment' are the default note types, users can create many more to be used in any combination.

It is possible to adjust the date of a clinical note to affect its placement in the list, however please note that if you date multiple notes to be the same day they would next be ordered by the date created. So in your scenario the History note would need to be dated earlier than the Treatment, because the Treatment was still created first. For this reason I wouldn't recommend this option highly.

A better solution is to create a place-holder 'History' note prior to adding the 'Treatment' note, so that the data entry team could later fill in the necessary information without having to create a new note days later, which will affect the ordering.

If other users do have a similar need, we are happy to hear your thoughts.

Thanks for your suggestion Andrew.  We are trying this out now.  Specifically, our front-desk reception are setting up a "place-holder" History and Chart once the new client arrives at the clinic. This way these entries are in place before the practitioner creates the first treatment entry. Yours is a very good suggestion. The only downside I can foresee is that it is usually a day or two before the data entry team gets to transcribe the pen/paper history on to FrontDesk; consequently the History and Chart will have a "revision" record for each person. This could take up unnecessary space?
