Bulk regular future appointments

If a patient would like to make their regular appointment every Monday at 8am from now on, is there a way to set this up for the next few weeks/indefinitely without actually manually going to every Monday individually for the next however many weeks and putting the appointment in?

The appointment scheduler feature will let you do this.

Right click on an available space on the appointment book and select Appointment Scheduler:


Search for the patient file and set the appropriate appointment details. When you click next button you'll be able to set the recurrence settings as below:



When you select next, you will the need to process the appointments which will check to see if the times you have selected are available. Appointment dates that aren't available will remain in the top section of the page, and successful bookings will appear in the lower half of the screen.

Hi,
Is there a way to do this for class/group bookings?
I know that by selecting "Edit future group appointments in schedule" you can book someone in for a class indefinitely but is there a way we can choose to book the client in for 10 times or 20 times instead?

Hi Emily. There are certainly tools to help you book patients into multiple group/class appointments. This post assumes you are running Front Desk version 16.3.0 or higher.

Make sure you have added the group appointment and set an appropriate recurrence. In the example below, I am setting up the class to repeat weekly on Thursday which will end after 5 recurrences. The second half of this window shows you the dates and times of the all group/class appointments in the series. The key on this window indicates the following:

Available: There is available space on your appointment book for this class to be booked
Unavailable: There is no available space for the class on his date
Class full: Used once the class is already setup with patients booked in to see at a glance which instances of the class recurrence are full.

You will only be able to edit the settings in the top half of this window when setting up the group recurrence for the first time.



Once the recurrence is set, if you're wishing to add a patient to multiple appointments in the series, select 'Edit future Group Appointments in schedule' when selecting 'Edit Appointment' or double clicking on the group on the appointment book.



When you right-click to add a patient to the group, you will see the following prompt:



As you can see, there are several selections that can be made to book the patient into future instances of the group appointment. 

In your case, I would recommend selecting Add Patient into the first 10 appointments. There is an option next to this that will allow you to add the patient to the class even if it is full.

Alternatively you could manually select 10 appointments in the the list displayed in the lower half of this window. This may be helpful if the patient wants to book into this class at this time on select occasions, and a different time on others.

If you have used the scheduler to book appointments for Mondays at 3pm and then the patient needs to change them to Tuesday at 4pm.  Is there a way of doing so without going into each appointment to change them?

With the appointment scheduler - does it define which practitioner and which diary it is to be included into.   Or does it copy the existing appointment.  Would this still work when practitioner is away and another practitioners is covering shift.   Sharon
