Contact information/instructions on patient card General Tab

Hi Guys, Would you consider creating an area on the patient card "General Tab" for notes relating to contact instructions? This would make life so much easier when it comes to contacting patients with guardians ie. Kids.. My staff fill other areas on the card with this information and it just make things messy

This would be an excellent idea especially for RTW CoOrd details so you don't have to search for them

Andy - I am not sure I understand exactly what you want here (and you may need to explain further for y dull brain...). Are you talking about a parent's details or - as Jean is referring to above, a case officer (or similar).
If a parents: suppose you sequenced the "Billings" tab next to the "General" tab, and entered the Contact details on Billings? Would this work for you?

All of the above, but I was referring to parents details or simple contact info easily accessible/visible with patient details on the general tab.
Do you mean entering information in the 'bill to third party' area? This would also get confusing when you really do have to bill to a third party such as an insurance company and all patient contact is via a guardian.

Hi Andy - yes, I did mean 'bill to 3rd ..'. You raise an interesting situation. I guess for this we would use a spare "phone" cell/box on the general tab to put something like Samantha/M (meaning Samantha/Mum) and have her phone no. in an adjoining box. But I can imagine this workaround wouldn't always be possible.

We use the fax number section and to be honest it drives me crazy - OCD doesn't cope well with that.  It'd be great even if you put a DOB in and it registers they are under 18 and asks for guardian details... Just a name and phone number

Agreed - we always have a parent contact detials taking up space in the notes section. A seperate contact instructions sections for guardians would be excellent.
Us too. We end up having to put info in the fax area so we know which parents mobile number it is. Even a customisable field for contact would be good.

Do you use the contact section - where you put the next of kin and can define their relationship.  We use that and also if there are extra details or numbers we put then in the notes section if needed.
We do use that, esp for emergency contact details.  However, it's more useful to have on the front page, also that phone number prints for recall lists etc.  

Also, if there are specific times to contact a patient, or other important notes we have them as warnings so they pop up when the patient file is opened.

We would love fields where we can add extra contact information, especially next of kin, parents and/or emergency.

Has this enquiry been flagged by Front Desk at all?

Thanks for the advice Joyaa. We use Contacts for other professional relationships (e.g. guidance counsellors, teachers) and would prefer to enter these details as we make clients' appointments (as per everyone's requests)

Hopefully something Front Desk can consider soon.

Has there been any update from SmartSoft on this? I noticed this post is already 2 years old!

We definitely need another / different contact field under the general tab - as Andy has mentioned, for minors / guardians/ etc. This should include preferred phone numbers and email, as well as identify the person as a mother/father/guardian/grandparent/etc.

It would also be good if we can address text/email reminders to a third party. For example:
 Dear "parent", your "child's" next appointment is on "date".

Hi everyone

We are happy consider this idea, though it is difficult to add additional fields to the general tab due to space limitations. 

In the meantime, the Contacts feature on the patient file can meet the needs of many different types of users. 

Rudi, in your case it is possible to use the Contacts tab to store the details of the parent/s for the purpose of addressing an SMS reminder to them. This would still require you to store the mobile number for the parent on the general tab, but you can reference their name based on the details stored on the contacts tab.

To setup an SMS tag for a parent, you would do the following:

Create a Contact Type for “Parent” in System > Contacts > Contact Types





With the Contact Type setup, go to the Patient’s file and create the mother or father as a contact by going to Contacts > Add



Select New and then fill in the contact details as appropriate, using the type Parent and select OK.



Select the Contact Relationship, creating one using the New button if necessary. This is the key to using the contact’s details in your standard letter and message templates.



Once entered on the patient’s file, take note of the Merge Type. This is what we add to the end of our letter tags while creating our template.



You can now call upon the contact’s information inside of an SMS/Email/Letter template by using the Contact Letter Tags and putting the Merge Type in parentheses as illustrated below.

Just an idea - What about having a "box" that we can tick in the general tab to indicate a third party as the main contact?

I'm thinking by clicking this "box" on the general tab, you could have one of the following results:
  1. The "contact third party" box is highlighted on the general tab, which reminds staff to check the contact dtails in the "contacts tab", or 
  2. It could copy the 3rd party details into the general tab, replacing the general contact details for the patient. That way you only need the third party's name to be added to the general tab, reducing the space you need. Or, 
  3. Lastly, by clicking the box and then hovering over it with your mouse, the contact details of the 3rd party is displayed.
I hope this makes sense.
