Financial reports restricted access / Your businesses entire financial history on show to anyone. Please vote!

  • Under Consideration

I would like to be able to restrict access to the financial reports/ baking and statement reports to some log-in’s. As it stands anyone using front desk within a few clicks can view the entire financial history of my/ your business! We are a developing practice with multiple practitioners and reception staff (some come and go). I would prefer the ability to restrict such sensitive information i.e. a day or week to varying levels of access via their log-in restriction. I have discussed this with Front desk tech support who did not consider this to be a commonly shared concern. Please vote!

Angus - from the "Admin" user, choose "System", then "Security", then choose the user whose access you want to restrict.
Select their name, click on "access" and then the "reports/exports" tab.
Then deselect the reports you need to deselect.
Does this do what you want?

I am referring to the tab that opens all the financial information, not the individual patient account, which is managed by the staff at the desk. Everyone who is logged into the system can view all the takings in any timeframe.

Hi Irene - sorry you have lost me ... "the tab that opens all the financial information"?
Possibly you are referring to an icon rather than a tab?  "Tabs" appear on each individual's file as opposed to and "icons", which are the little symbols in a row near the top of your screen.
If that's right, and you are referring to icons, then if you hover your mouse over the icon you are referring to, you will see a little "tip" that gives the name of this icon.  Once you have that, let us know which one it is.
Alternatively, if you are actually referring to tabs in a patient file, each tab has a name.  What is the name of this tab?  (It isn't "all the financial information").

Thanks.  Yours, trying to help.

Yes, of course, you are right . It is the icon of the dollar sign , I am referring to. At the top of the screen. I put in the date " from /to" and  the financial information is available to all . The practice manager needs to have access, and this is necessary to reconcile the takings. But it is accessible to everybody else who uses the software.

Thank you for your assistance Joyaa, You are clearly attempting to help. The term 'end of day report' is my own term and a report i like my staff to send to me at the COB of each worked day. This assists me with my cash flow esp. when im not at work. Can i ask you to please explore the options as i have already raised this with 2 of your tech colleagues and feel i am spending far too long on this. My concern which has been confirmed by your colleagues is that im unable to ask new staff or old for that matter to report to me total takings for the day without giving them access to the entire fifteen year financial history of my business. If you are able to find a solution to this i would very much appreciate your phone call on Monday morning alternatively could you please escalate this concern to internal discussions in the hope a solution can be devised. Many thanks

Hi Angus - please see Tony Taddeo's reply below, which pre-empted mine.  I am just a FD user, like yourself.  :)
However, what I guess I can reasonably point out is that if you have an issue with a particular part of the software, it helps to describe that part of the software in the same language that FD uses.  So yes, I now understand that "end of day report" is your own term (and thank you) but I am still no more the wiser as to how you create this report - which icon you click on to create this, and which options you select once you have clicked on this icon.  Make sense?

Hi Irene - sorry to be pedantic, but there are two icons with dollar signs.  As I wrote upthread, please hover your mouse over the $ icon you mean and read the screen tip that shows.  Then advise us here which icon it is, and - as I wrote to Tony - which options you are selecting.

Without the level of communication I am suggesting, it is really hard for the community to know whether to agree with your initial comment and add our support, or how to advise etc.

Smiles, Joyaa

I think the best way is to have each person with their own security settings and never actually log on as 'Admin' (although it is available with password).  Our receptionist has her own restricted login, and Practice Manager has hers which accesses everything.

Hi Angus

Please note that though Joyaa is a helpful active community member, he does not work at Smartsoft.  Our staff have a green symbol and a title next to their names in the community.

We will have a chance to read your weekend post on Monday and respond accordingly.

regards

Tony (I do work at Smartsoft)

A suggestion would be to have a FD licence off site that only you access for access to the banking/financial information.  Therefore you don't need to give any staff password to total access.
The option would be for every staff member to have their own login and you can limit/allow access that way.

Sharon thanks for your suggestion. An additional licence may be expensive. Steven can you tell me how much for an additional networked licence so that i may have real time connection to my practice?

Hi Angus

You can restrict who can access various reports in the Security section of Front Desk by going to System > Security > “User” > Access. The General tab has the Banking Sheets option and on the Reports/Exports tab you can provide or revoke access to the different Front Desk reports, including your financial reports.

At this stage Front Desk security works by allowing users to have access or not have access to each report. We do not restrict the date ranges available to each user, however, we are happy to monitor interest in this subject.

Angus, do you have your own login?  Can you restrict the banking records so that only you can view them and run your own report each day for reconciliation?  I manage a small practice, and that's what I do, then enter the payments into our accounting software for reconciliation.  Works a treat and takes me 5 mins a day.
