Health Care Card Expiry Dates

Hi, we currently bulk bill concession card holders but find it difficult to track their ongoing eligibility after the 1st session. Is there a way to be alerted when the current Concession/Pension Card expires?

Hi Karen

While we do have fields available to store Expiry Dates for Health Fund and Medicare cards, there is't an automated warning associated with them.

  

One option could be to use Events, combined with the Events Report to manage upcoming expirations. This would first involve creating suitable event types from Patient Event Types under the System menu.



These will be used to categorise the different care/benefit expirations, and could be similar to below.



Once these Event Types have been created, you can add an Event to the patient file to match the expiration.  Form the Patient File, go to the Events tab and click Add.



Be sure to select the appropriate Type and change the Date to be the expiration date needed.

Click OK to complete.



After the events have been added, the Events Report can be used to find any patients with an expiring benefit in the near future.  The Events Report can be accessed from the Reports menu at the top of the screen.



In the above example, the report will display a list of all patients with a concession expiry dated in December.  I understand this isn't quite what you were asking, but thought it may be useful for some users.

Another feature related to ongoing eligibility management is the Treatment Plan, which we have recently enhanced to include treatment counts for the calendar year (see post here).  This can be used to receive a warning once a certain number or treatments, or dollar value, has been used by the patient.

Just in case these solutions are still not quite what you are looking for, I have converted this conversation to an Idea for other users to express their interest and thoughts.

Whilst this solution will work, does it means double-entering data simply to FD to produce a get the necessary report? Is there a simple way to link patient names, phone numbers and card expiry dates into a single report?

You are correct. It would mean double-entering data, and I understand this isn't an perfect solution, but I still wanted to provide a solution possible with the currently available features. Hopefully some users find it useful regardless, even if it just introduces Events as a handy feature :)

Currently there isn't a report which will list the basic patient information, including health fund and expiry dates. If there is interest from our user, we are as always willing to consider it as a future inclusion.

Hi Andrew, thank you for taking the time to find a solution and explaining how Events would work. I was looking for something that would potentially link expiry date of concession card to current date at time of billing - a bit like how 'warning' pops up when patient file is opened.

Hi Karen. We have added this idea to our development list. In a future upgrade, we will look at presenting an alert for both expired pension cards and Medicare cards when the expiry date is listed on the patient file.
