Logging Users Out

Some of our practitioners are notoriously bad at logging out of Front Desk.  This has (at times) created an issue when others try to log-in and our licensed user limit has been reached.  Is there any way for me, as the administrator, to log them out?

We have this problem as well.  The only way I know of is to log in as them and close down Frontdesk.   As administrator I keep everyone's log in on a Keepass program.

Hi Syd,

 We understand that practitioners don’t always follow the policies of shutting down Front Desk when they are finished using it.

 If one of your practitioners are receiving a message when they attempt to log in because you have reached your user limit, you can go to System Information, select the Network tab, and click on View Current Users

This will give you a view of who is currently logged in and may help identify who you will need to log out.

If you are using a terminal server environment, an admin user does have access to log individuals off, and you can take over a session to save data and log them off safely. For more information on this subject, we recommend consulting your IT technician.

 I believe you are suggesting that you would like to be able to have a button from the Front Desk Logins screen so that you can log users out remotely. If there is interest, it is something we can consider however the reason why it isn’t already an existing feature is that we didn’t want to create a risk of a partially completed record or clinical note being lost.

as a community based business our staff often work from home or remotely on devices. We also have this issue and would be interested to see this as a feature for users.  I didnt know the above was an option and I think this is a good tool for us to see who is online however the ability to boot people off. Ie someone you know isnt using it as they are were logged in 4 days ago...

Often we fall into the issue that a staff member has not logged out of smartsoft and then another user can't access the system. Based on the fact that I can't access computers that are in the clinic rooms when required to log out staff, this becomes an issue. 
Can smartsoft look at adding in a function for the Practice Managers access only - to be able to see who is logged in and be able to override and log out someone that is not even in the building to allow access to staff that are.

we also have users from home - if they forget to log out it can cause an issue. surely we can have a function to log people out. it just needs to be a security setting i.e. the managers have access to it, not everyone

An administrator access process to log-out users would be particularly helpful. Terminal server log-offs are an easy process, but only for a person that has administrator access to the server, they need to be physically present (for us anyway) and the IT know-how to do complete the task. This is a constant problem for us.

Hi All

While we agree this functionality would be convenient in some circumstances, we do have concerns with the potential for data loss when forcefully closing the Front Desk program.  It's not possible to save all pending data and even when it is possible it may unintentionally overwrite original (wanted) data.

Our feeling at this time is that the best course of action is to access the machine, verify what is open on screen and log-out gracefully.  

We are playing around with a way to increase licenses in this case temporarily, but we are not sure where this will go.

That sounds like a good compromise.  We have instances where staff forget to log off when going home, and we can then exceed our licences if another staff member is trying to access Front Desk remotely, particularly after hours or on a weekend when there is no one in the office to actually physically log off the offender!

Is there a way that when someone has just pressed the padlock button - that then logs someone out? We often have a few people using the same computer in one of our treatment rooms - they are getting good at locking the computer but then they log in on their main computer and front desk still recognises the locked computer as being logged on and we exceed users - multiple times a day and we are spread across multiple locations so it's not always as simple as going into the room and shutting down front desk on that computer.

Hi Sondra. Thank you for bringing this to our attention. We do think this needs a solution so in the next upgrade release we're going to fast-track a change to free up a licence when a user selects the padlock icon in the toolbar. We believe this should solve this problem.
