Mark an appointment as missed

Hey guys,

Had a new patient not show today, but we managed to quickly squeeze someone in during the 1hr time allocated for the new patient.

Problem is, if I move/delete the new patient's appt, we loose the record of the appt being missed.  But the schedule is now busy and I can't put another patient in.

An idea would be to be able to mark an appt as missed, so it would show in the statistics, and then we could delete it or something to free up the appt book?

Other thoughts?

Fantastic idea Meaghan, we have tried getting around this in a number of creative ways but they're all time consuming or muck up the stats which we need for our KPIs, Rae-Ellen Graham, Practice Manager, Total Care Podiatry

Our book has 10-minute intervals and the most common app't is 40 minutes.
So .. when this happens we reduce the 40-minute "missed" app't to 10 minutes, and change it's *status* to a no show. Then we pop the new app't into the 30-minute space we have just freed up. (Obviously, we give that client 40 minutes of our time, not 30).

We would also like this as well ..... For all appointments, When we bill a missed appt fee the appt shows as billed (changes colour) and does not show as a missed appt

Agree. The workaround is to raise the bill the following day, which is a little clumsy.

That's what we currently do, but would be much easier to finalise on the day ..... Moving forward not backward :)

We just put a note in for a reason (ie DNA, sick etc) and then we are able to track it that way, then delete the appointment and free up the spot

Not sure if this will work for all but we created a UTA/DNA category under Äppointment Status" and made it yellow so it stands out. If we want to have the spot available for another appt we move it to a closed section of the appointment book that way it will show up as a missed appointment on the file but we have the visual of the DNA also and the spot is free for an appointment. All hinges on you having some of your day ruled out as closed - or moving it into your lunch hour is a possibility also.We don't routinely bill for UTA, though it is on our fee schedule. Once you have billed the non attendance fee you can right click on the patient name and change the appointment status from completed to UTA/DNA.

We have managed to get around this by noting in a bright colour (yellow) and under its own category  - 'Missed appointment' in Events..with a note of why they missed. This way we can can track missed appointments. This also gets around the issue of changing the appointment status (colour) when we bill for the missed appointment.
