Only show practitioners available

It would be great if the appointment book only show Practitioners who are available, based on the rules created to open / close their days.

At the moment we can have 8 or more columns showing on a given day (as they need to be turned on to show the odd occasion a casual is covering someone on leave) which is too wide for a small notebook screen.

We have also had some errors in manually turning columns on/off as the schedule changes and therefore not showing therapists who should be available.

If you go to System Information - Appointment Book - Prac. Days, you can check the boxes for when a practitioner is available and they will only appear in the appointment window on those days. This may help.

Agreed - if they have no rules scheduled in the diary for that particular day, they should not show up in the appointment book on that day

Yes we do, but when they cover leave for someone who is sick or on annual leave (so not their normal scheduled days) we have to turn those days off and on each time.  When we do about three month's worth per schedule it is time consuming, requires concentration and increases the risk of errors.

My idea was for FrontDesk to automatically do this so we don't have any errors where days or columns are turned off when someone should be available.

Has there been any resolution on this question? I am currently working on our January roster and we have 2 practices, with several of our practitioners covering shifts they won't normally cover for both the rest of this year, and from February on to December 2016. It is frustrating having to amend practitioner days each time, and also then having them show on the day (ie Tuesday) for the rest of this year, when I really only want them to be available for bookings on Tuesday 5 January and no other Tuesdays. This would be a great feature to have available, to just mark the practitioner as available on one particular day/date, then have them not show on that day for the rest of the year, like it does now. This makes my appointment book huge when it doesn't really need to be. I have 4 practitioners blocked out for weeks on a Tuesday, just so they can be open the first week of January.

This idea is still being monitored as a potential addition to the software, but we welcome your expression of interest.

For users who are new to the conversation, currently the best solution is to rule out the practitioners as 'unavailable' for any days they do not regularly work, and only make them 'available' with a overriding rule for the specific dates they are needed. Please see our rules article for more information on creating 'available' and 'unavailable' rules, as well as working with rules hierarchy.

Further to my comments Andrew, I have been thinking about it -it would be good if once you change someone's prac day, eg they are going from working Monday to a Tuesday, if it was date-related, and that once you change their prac day, it doesn't take away that day - eg, you "delete" the Monday prac day starting next week, if you could still see this monday showing for that practitioner - quite often we have to go back and look at what was happening last week or the week before or back even further when billing has been done incorrectly - and if the practitioner has disappeared, it makes tracking these things very difficult.
