SMS Patient Holiday Greeting & Practice Opening Times

As we approach the end of year holiday period, you may want to touch base with your patients to advise them of your opening times and to wish them a safe and happy holiday season. Using standard SMS features in Front Desk is the most effective way to reach your patients. 

Sending an SMS through Front Desk will typically generate a number that patients can reply to which will come through as a Message in Front Desk. However, for this purpose, a reply from a patient is not generally required. To give your SMS a professional look you can choose to set a Sender ID so that your practice name appears on the patient’s phone, rather than a phone number. 

This can be set in System Information > SMS tab. Tick the Show Sender ID option when sending SMS and enter in a Sender ID which your patients will see on their phone in place of a mobile number [Please note that the maximum length of a Sender ID is 11 characters and cannot include spaces].

Next we need to create a template. To create an SMS template, select System > Standard Messages > Standard SMS.

Click Add to create a new Standard SMS template.

Enter a Description for your template, followed by the Text you wish to send your patients. You can include Letter Tags in your message [shown in red below]. Letter Tags will auto-fill with information from the patient's file. A list of available Letter Tags can be found in Help -> Search for help on... -> "Standard Letter Tags".

Below is an example of an SMS Template that you can use in Front Desk. Simply copy the text between the dotted lines and paste into the textbox as seen in the step above. 

Hi <<PreferredName>. On behalf of the team at Smartsoft Clinic we would like to wish you a Merry Christmas and a Happy New Year. We will be closed over the holiday period from 25/12/2015 and will reopen on 6/1/2016

***Ensure you replace Smartsoft Clinic with your practice name and set the correct practice close and re-open dates*** 

With your template setup, you will need to determine who will be receiving your SMS. Run a Patient List report by selecting Reports > Patient List. Filter this as appropriate for your practice.
We recommend limiting the broadcast to patients who have had an appointment or transaction with the practice in the last year, however you can use any of the filters on the patient list to select your audience. Please note a patient will only be sent an SMS if they have a phone number listed in the Mobile field on the General tab of their patient file.

Select your template using the drop-down menu and ensure Use Sender ID is ticked. You're now ready to click Send.
