Tips when using Front Desk Web Applications

Smartsoft is constantly developing and improving its web applications, adding new functionality to keep up with the needs of Front Desk users. Here are a few tips for using our web apps that you may not already know.


Get a Static Public IP Address
Your public IP address is your unique address on the internet. This address can be used to access your Web Appointment Book remotely through a web browser (e.g. http://64.233.191.255/FrontDesk).



Some Internet Service Providers (ISPs) issue IP addresses dynamically, meaning that an IP address is assigned to you from a pool and may change at any time. If your IP address changes, the Web Appointment Book or Patient Booking Gateway will no longer be accessible via the same URL you were previously using.

Though you can setup a dynamic DNS service to set a permanent URL for your Web Appointment Book or Patient Booking Gateway, this service must frequently update and track changes to your IP address, resulting in slow connection speeds to your webpages.

Best practice is that you use a static IP address to avoid these issues, which is available on most business-grade internet services. This means that your IP Address will remain the same permanently, and the Web Appointment Book can always be accessed from the same address.

Stop using all those numbers in your URL
Why not use something like bookings.myclinic.com.aurather than http://203.0.113.24/BookingGateway?



It is possible to use a professional, easy-to-remember URL for your Patient Booking Gateway and Web Appointment Book.

To use a name, rather than an IP address, to access your web applications, you will need to add a DNS entry in your name server for your domain name. Though this sounds complicated, it would be a simple process for whoever is managing your domain name to add this entry. There is generally no cost to have additional DNS records.

Use the Light Version of WebPlus if That's All You Need
The WebPlus edition of the Web Appointment Book comes equipped with a light version. This version removes some of the more resource-intensive features of the web appointment book, providing a more optimised experience for users on computers with lower specifications or on low-bandwidth connections.

The Light Version can be switched on when logging into WebPlus by ticking the 'Use the light version of WebPlus App Book' checkbox.



View Your Appointments in Your Native Calendar
Users are able synchronise the Front Desk appointment book to a third-party calendar such as Microsoft Outlook, Apple Calendar or mobile devices such as iPhones and tablet devices. The advantage of this is that you will get a read-only view of your appointment book which automatically updates in the background, accessible simply by viewing your standard calendar.

Embed the Patient Booking Gateway on your Website
Some practices prefer to embed the Patient Booking Gateway within their existing website, rather than direct clients to a separate webpage. To help improve this process, we have implemented a new 'embedding-friendly' style to the Patient Booking Gateway.

In the latest version (version 3.1.0), there is better integration when embedding the Patient Booking Gateway, so it will look more like part of your website, rather than a bolt-on. You will need some web design skills to implement this, but the result is well worth it if this is the effect you're looking for.

This functionality can be enabled in the Patient Booking Gateway Configuration section of Front Desk. On the Defaults tab, simply check Allow Booking Gateway to be embedded in an existing website. The Patient Booking Gateway will automatically detect when it is loaded inside an iframe and style itself accordingly.



Track your visitors with Google Analytics
Google Analytics is a service offered by Google that generates detailed statistics about a website’s traffic. The basic service is free of charge. The Patient Booking Gateway offers the option to integrate with Google Analytics.

To configure this functionality, simply paste your tracking code (a snippet of JavaScript issued to Google Analytics users) into the area provided on the Google Analytics tab of the Patient Booking Gateway Configuration section. Note that this functionality is only available on Patient Booking Gateways that have a domain name setup using a DNS entry (please see how to stop using all those numbers in your URL at the top of this article for details).

Further to this, please note that when embedding your Patient Booking Gateway inside an iframe on your website, the embedded page should not belong to a different domain than the primary site.
Certain web browsers such as Internet Explorer cannot handle cross-domain sites without issue, and require all elements to belong to the same domain to work as intended.

For example, if the website hosting your Patient Booking Gateway is smartsoft.com.au, you cannot have the embedded booking gateway on a separate domain such as  bookings.examplepractice.com.au/bookinggateway.

It would instead need to belong to the smartsoft.com.au domain, such as bookings.smartsoft.com.au/bookinggateway.

Please see below for an example of iframe usage which might be placed on your website, including a suitable sub-domain for smartsoft.com.au.
