I was wondering when Xero will be integrated into Front Desk? I had a conversation last year with one of the technicians who mentioned it may be toward the end of 2016?P.S. This forum is a great idea. Thank you!

Hi Ron

Welcome to the Community.

Development on Xero integration is well underway and includes changes to the billing engine in Front Desk which will improve the way invoices are generated and sent out.

At this stage, we are unable to provide an exact time for release.

HI - just wondering as we are with MYOB and want to change over to Xero, will this integration be ready by July 1 this year do you think?

Hi all. We will be starting beta testing of the revised billing engine functionality with some of our users within the next few weeks. Following the completion of this testing, the Xero functionality will also be released for beta testing with select users. Due to the critical nature of accounting system functionality, we are still unable to give an exact time for final Xero integration but we are getting much closer.

I will be posting a new article tomorrow requesting users interested in beta testing the new billing engine to register their interest.

We are also pleased to announce that following the release of the Xero integration, we plan to integrate Front Desk with MYOB cloud products.

Hi Sarah. We are releasing the changes to the billing system to our beta testers next week. The beta testing will focus on the new invoicing and statement system as well as batch emailing functionality. If everything goes smoothly, in the coming weeks we will release these improvements as a pre-release version to all users while we work with the beta testers to finalise the Xero integration.

Hi Timothy,

Quick question RE: billing system. Will billings/accounts receivable be managed by front desk or by Xero?

Hi Ron. All billings will still be managed in Front Desk with the integration adding a copy of these billings to Xero. The reason for this is that Xero does not have the correct functions to directly handle billing for allied health professionals.

We have now released the new accounting engine to the first group of beta testers, which includes the new handling of invoices and statements and bulk emailing functionality. It will be released to more beta testers over the coming weeks. After this time, this version will become a pre-release upgrade for all users.

The hardest part in the integration process is now complete and we will be finalising the functionality that connects Front Desk to Xero. At that time, we will start a new round of releases to beta testers.

Hi Tim,
I am interested in the Xero integration from the perspective of easier reconciliation of Tyro payments.  Will this be covered in the release? If so, I would like to register my interest for the beta program.
Thanks, Tom Foss

Hi Tom

A version of Front Desk including changes to the accounting engine to support the Xero integration is currently out with our beta testers. A version with the Xero integration will follow when the testing is completed. I don't believe that anything is changing regarding HICAPS or Tyro transaction reconciliation.

Please feel free to open a support case at www.smartsoft.com.au/support if you have any questions regarding the general reconciliation of Tyro transactions.

Hi Justin. We will be releasing a new version of Front Desk with the new billing engine tomorrow, which includes significant changes to the way statements and invoices work and the ability to bulk email both statements and invoices. This version also includes the majority of the work required to complete the Xero integration and provides the platform to integrate with other accounting systems in the future.

Our development team is currently working to finalise the Xero integration, which will undergo beta testing with some users before it is released to all users as a pre-release version.

Regarding the MYOB Cloud integration, we are not able to provide a more specific timeline other than the first half of 2018.

We have now released Front Desk version 17.1.4, which is available to download from the Smartsoft Support page.

There are a lot of improvements included in this new version, including the new billing engine, bulk emailing of invoices and statements (time to start collecting billers' email addresses) and addressing the possibility of transactions appearing on multiple invoices with different invoice numbers.

Due to the significant changes in this version, it is important that you familiarise yourself with information in the Front Desk Accounting Update November 2017 document prior to updating your system. A full list of changes in Front Desk version 17.1.4 can be found here.

This update includes the majority of the work required for the Xero integration. Our team is continuing work to finalise the Xero specific functionality, which will be tested through a beta program, followed by a release to all users. Once the Xero integration is released, as confirmed above, we will commence work on integrating with the MYOB Cloud accounting package.

Hi all. We are pleased to share that we have completed the functionality that links a Xero account to an entire Front Desk system as well as linking separate Xero accounts at a practice group level for multibusiness setups. We’re also able to retrieve and link item codes to the chart of accounts, and send transactions to Xero. As we look after many types of practice that use Front Desk in different ways, we’re now working through some edge cases that we need to accommodate. Locking of accounting periods will be investigated as a part of this process.

The good news is that we are close to starting the beta testing process and we’ll be putting out a call to users who would like to participate in this testing to register their interest in the near future.

The current pre-release versions of Front Desk will be made production in the coming week and we are aiming for the next round of pre-release versions to contain Xero integration functionality once beta testing is completed.

I'm sorry to say but it's take a LONG time for Smartsoft to get Xero integration working and that's still at beta testing stage.

It was a factor (not the only one) in my allied health practice switching to a different practice management system.

Hi Flex. We are nearing the end of the beta testing process with a final beta release this week, and an integration that will be ready before the new financial year (1 July 2019).

Over the last few months, clients have been assisting Smartsoft in beta testing three types of integration to ensure that the Front Desk information synchronised to Xero helps to automate the bank reconciliation process and doesn't create extra work for your bookkeeper. We are at the final stages of testing integration features that support clinics with multiple locations/businesses within their Front Desk system that need to be synchronised to different Xero organisations in the same subscription, or to a completely different Xero subscription.

We are pleased to announce that the Front Desk Xero integration is now available for general release in Front Desk v19.0. We would like to extend a big thank you to our group of beta testers for their assistance throughout the testing process.

The Xero integration is provided on a self-installation basis by following the detailed Xero Integration User Guide.
For those users wishing to have an assisted installation and configuration of this interface, Smartsoft can provide this professional service. For more information on this service, please click here.

Key integration features include:
  •  3 types of integrations: Daily Summary (recommended for most users), Detailed & Detailed-Single Contact
  •  Ability to synch practice groups to different organisations within the same Xero account or to separate Xero subscriptions
  •  Detailed breakdown of payments in Xero to help with reconciliation
Before using this integration, please note that Xero does not provide any means to reverse an upload made to their system. It is essential that you test your integration using a Xero trial account before uploading data to your live (production) Xero organisation. Xero offers a free 30-day trial organisation, which is ideal for this purpose.
